Is n8n a Workflow Management Tool?
Not in the full sense. n8n is a workflow automation tool aimed at technical teams: it runs automated sequences across systems, either on n8n's cloud or on the organization's own servers. It covers the automation function of workflow management and adds native forms and approval pauses, but it does not give people a place to see, own, and track work in progress.
n8n builds automations as nodes joined on a canvas, and calls each one a workflow. It lists 2,285 integrations. n8n integrations Two things set it apart from Zapier and Make: it can be self-hosted, and it charges per workflow run, not per step.
n8n's use of the word needs care on a site about workflow management. An n8n workflow is an automation. The workflow a team manages is larger: it includes the stages people work in, the handoffs between them, and the time work waits. n8n automates parts of that path and does not represent the rest.
How n8n Handles the Six Workflow Functions
1. Capturing work at intake
n8n captures intake with a built-in form trigger, webhooks, and triggers from connected apps. The form trigger starts an automation when someone submits a form, supports field types including dropdowns, dates, and file uploads, and can run across several pages. Access can be open, password-protected, or limited to logged-in n8n users. Form trigger documentation
Having the form inside the automation tool removes one dependency: a simple request workflow needs no separate form product.
2. Defining the path
An n8n automation defines its path as a graph of nodes, and only for the steps software performs. Branches, merges, and loops are drawn on the canvas, and code can be added where a prebuilt node does not fit. A run always follows the design.
The stages where people do the work are not part of the model. They exist in whichever system the automation writes to.
3. Routing and assigning
n8n routes data by condition and leaves ownership to the receiving system. A branch can send a request to one team's tool or another's, and a node can set the assignee there. n8n has no queue, owner, or due date for a piece of work.
4. Automating routine steps
Automation is what n8n is for, and its pricing unit favors long automations. n8n meters by execution, which it defines as "a single run of your entire workflow. It doesn't matter how many steps are in the workflow or how much data it processes." n8n pricing A 3-step and a 30-step automation cost the same per run.
An automation can pause for a person on any plan. The Wait node suspends a run until a set time, an incoming webhook call, or a form submission, storing the run's data in the database in the meantime. Wait node documentation A form-based wait is how an approval step is built: the run stops, a reviewer submits a decision, and the run continues down the matching branch.
If an account exceeds its monthly executions, automations keep running and overage charges may apply.
5. Showing the state of work
n8n shows the state of its automations, not the state of the work. Its views list executions and whether each succeeded, failed, or is waiting. It can tell an operator that an approval run has been paused for three days. It cannot show a manager all open requests by stage and owner.
6. Recording and measuring
n8n keeps execution logs for a period set by plan and reports on automation performance. Log retention is 7 days on Starter and Pro, 30 days on Business, and 365 days on Enterprise. Insights adds workflow-level metrics, with a dashboard over time on Pro and up to 365 days of history on Enterprise. n8n pricing
These figures describe how the automations ran. Cycle time, wait time, and throughput for the work itself are workflow metrics that come from the system holding the work.
Where n8n Fits
n8n fits organizations with technical staff that want control over where their automations run and what they cost.
-
Data that must stay in-house: self-hosting keeps workflow data on the organization's own infrastructure.
-
Long or data-heavy automations: per-execution pricing does not penalize many steps or large batches.
-
Automations that need custom logic: code steps handle cases prebuilt connectors do not.
-
Simple request-and-approve flows: the form trigger and Wait node cover intake and sign-off without another product.
Where n8n Falls Short
n8n is a weak fit for non-technical teams and as the only tool for a workflow that people work in.
-
No home for the work: there is no shared board, queue, or list of items by stage and owner.
-
Technical overhead: n8n's documentation states that self-hosting requires technical knowledge for installation and configuration, plus a server, Docker, or npm setup. Choosing how to use n8n
-
Governance features sit high: single sign-on, multiple environments, and Git version control start on the Business plan.
-
Short logs on entry plans: 7 days of execution history on Starter and Pro is not an audit trail.
-
Fewer prebuilt connectors: 2,285 integrations, against the 3,000+ Make lists and the 9,000+ Zapier lists.
-
No flow measurement: reporting covers automation runs, not how long work takes.
An Automation Engine Is Not a Management System
n8n executes a design. It does not supply one. Which steps should exist, who is accountable for the workflow, and whether it is producing the right outcome are decisions made outside the tool. Powerful automation applied to an undefined workflow produces more activity, not better flow.
Before building in n8n, decide what to automate first, where the human checkpoints go, and how the automation will be documented. For the wider category, see Workflow Management Tools.
Frequently Asked Questions
Is n8n a workflow management tool or a workflow automation tool?
n8n is a workflow automation tool. It runs automated sequences across connected systems. It has no board, queue, or record of work items by stage and owner, and it does not measure how long work takes, so it does not cover workflow management on its own.
What is an execution in n8n?
An execution is one complete run of an n8n workflow, from trigger to finish. n8n counts and bills by execution regardless of how many steps the workflow contains or how much data it processes.
Is n8n free?
The self-hosted Community Edition is free to use, with hosting and maintenance costs borne by the organization running it. n8n Cloud plans are paid, starting with Starter at 2,500 executions a month, and offer a free trial.
What is the difference between n8n, Zapier, and Make?
All three are workflow automation tools. n8n can be self-hosted and bills per workflow run. Zapier bills per successful action and lists the most app connections. Make bills per module run and builds on a visual canvas. n8n expects more technical skill than the other two.
Can n8n handle approvals?
Yes. A Wait node can pause a run until a reviewer submits a form or a webhook is called, and the run then continues down the approved or declined branch. Tracking which approvals are outstanding, and for how long, is easier in a tool that holds the work.
Can n8n replace Asana, monday.com, or Smartsheet?
No. n8n moves and transforms data between systems. It does not give a team a shared place to plan, assign, and follow work. It is used to connect a work management platform such as Asana, monday.com, or Smartsheet to other systems.
